Black boxes that leave text behind
Overlay markup looks redacted and still extracts. Counsel and journalists both know how to copy from a blacked-out PDF.
Alternatives
Compare Northdocs with Cleardox, Adobe Acrobat, manual markup, and paste-into-AI workflows. Honest trade-offs, then a recommendation by job.
If you need permanent removal, identity review, and a verify gate before download, start with Northdocs. Cleardox is the closest legal-redaction peer. Acrobat is fine for a few pages. Manual markup and ChatGPT are not a disclosure process.

The search
The search usually starts after a close call: leftover CPR in a public pack, a quote that shocked procurement, or a stack of Acrobat files that will not finish before the deadline.
Overlay markup looks redacted and still extracts. Counsel and journalists both know how to copy from a blacked-out PDF.
FOI and DSAR packs run to hundreds of pages. Find-and-redact per occurrence misses name variants and third parties.
US-hosted tools and opaque seat quotes stall municipal and firm diligence. Public DKK/EUR seats and EU residency evidence move faster.
Pasting a case file into a consumer model is not a redaction workflow. It is a leak with no verify step.
Buying tests
Feature bingo without permanence, residency, and export-gate checks creates procurement regret. Use these six tests on every shortlist.
01
The file must lose the text, not hide it. Content-stream removal is the bar for legal-grade disclosure.
02
Re-extract after apply. If a CPR or name survives, the export should fail closed.
03
Accept a person once across the pack so Anne Jensen and A. Jensen do not slip through on page 87.
04
Hosting region, DPA, and subprocessors should be public before you start a DPIA.
05
Disclosure is a pack, not a single PDF. Look for cases, audit, and TOC/binders.
06
Public seats beat a sales-only quote when you need to forecast a 25-seat workcell.

Short answers. The write-ups below explain when each still wins.
| Capability | Northdocs | Cleardox | Adobe Acrobat | Manual Word, find/replace, and spreadsheet trackers | ChatGPT, Copilot, and paste-into-model shortcuts |
|---|---|---|---|---|---|
| Permanence | Content-stream removal, not overlay | Irreversible redaction into a new PDF | Acrobat redaction tools; overlay risk if misused | Painted boxes and find/replace | No file change you can prove |
| Fail-closed verify | Re-extract after apply; block download if text survives | No public fail-closed re-extract gate | No Northdocs-style export gate | None | None; the paste is already the leak |
| Identity review | Fast Track dossiers: accept a person once | Accept-all by PII type | Find/redact per occurrence | Memory and a spreadsheet | Prompt hope |
| Case / binders | Case workspace; Binder Studio on Firm+ | Legal Binder module | Separate packing workflows | Email and shared folders | Not a pack tool |
| EU diligence | OVHcloud Frankfurt; public DPA and subprocessors | European servers; cloud or on-prem; ISAE 3000 Type II | Regions and terms vary by contract | Wherever the laptop is | Vendor training and retention terms |
| Public price | Named-user DKK/EUR; Pro/Firm ~60% under Cleardox list | Professional ~$75 / Enterprise ~$145 per user/mo (list) | Acrobat licence; not a workcell trial | Staff time only | Subscription plus leakage risk |
| Best for | FOI, DSAR, and litigation packs that must survive scrutiny | Teams already running Cleardox or needing its on-prem shape | A few pages, one editor | Short, low-risk files | Never source documents |
Competitor features and list prices change. Verify with each vendor before you buy. Northdocs prices are public per-seat DKK/EUR rates. Cleardox figures above are public list, not your negotiated terms.
Write-ups
Paragraphs, not checkmarks. Stay with the tool that already wins your job. Switch when the pack, the residency story, or the export gate matters more.
Our recommendation
Fail-closed disclosure workspace
Northdocs is built for FOI, DSAR, and litigation packs. Deterministic checks catch structured IDs. Fast Track accepts an identity once. Apply removes content from the stream. Verify re-extracts the file and blocks download if sensitive text survives. Hosting is OVHcloud Frankfurt with public trust pages. Outbound Guard is an Outlook upsell when mail is the next leak, not the opening product.
Pro and Firm public seats sit about 60% below Cleardox list for comparable redaction tiers. 30-day Firm-level trial, no card.
Municipalities shipping aktindsigt packs, privacy ops drowning in DSAR pages, and firm disclosure workcells that need a verify story counsel can defend.
Teams that black out a few pages a month and do not need audit, binders, or a multi-user workspace.
Closest peer
Capable legal redaction
Cleardox is a real legal-redaction product, not a PDF editor with a black-box tool. It offers irreversible redaction into a new PDF, Fast Track-style accept-all for PII types, European hosting (cloud or on-prem), and a Legal Binder module. Public list sits around $75 Professional and $145 Enterprise per user per month. The 14-day trial goes through sales. We do not claim a public fail-closed re-extract gate like Northdocs verify.
Your team is already deep in Cleardox workflows, you have negotiated enterprise terms that beat our public list, or you need a Cleardox-specific connector we do not match yet.
You want a public verify-before-download gate, dossier-style identity review, published EU diligence pages, or named-user prices you can forecast without a quote.
Desktop markup
Occasional page markup
Acrobat can redact a PDF. That is enough for a short contract or a one-off exhibit. It is file-by-file markup: no case workspace, no identity dossiers, no Northdocs-style export gate, and no binder studio for a disclosure pack. Many teams keep Acrobat for light edits and move the pack work to a workspace.
You redact a few pages occasionally and do not need multi-user review, binders, or a verify gate.
The pack is hundreds of pages, the same people appear across files, or leftover text in a public release is unacceptable.
Habit, not a product
The default habit
Find Jensen, paint a box, tick a row in Excel, email the PDF around. It works until the third variant of a name, a scanned page, or a journalist extracts the redacted file. There is no verify step and no audit that survives scrutiny.
The file is short, the risk is low, and one person owns the whole job.
Volume, third parties, scans, or a defensibility question show up.
Not a process
High leakage risk
Asking a consumer or workplace model to remove the personal data is not redaction. The model can miss structured IDs, invent confidence, and you have already sent the file to a third party. Prompt Guard exists to wipe the clipboard before that paste. It is not a substitute for case redaction.
Drafting that never includes case files, after Prompt Guard has cleared the clipboard.
FOI, DSAR, or litigation source documents.
By job
Same category, different jobs. Pick the tool that matches the pack you have to ship.
Northdocs. Identity accept, verify gate, EU diligence. Cleardox if you already run it and the contract is settled. Acrobat and manual markup miss third-party CPR at volume.
Northdocs for production packs. Cleardox is a peer if your process already lives there. Do not paste the export into ChatGPT to finish the job.
Northdocs or Cleardox. The deciding tests are permanence plus verify, binders, and whether counsel will accept an overlay story. Acrobat is a markup tool, not a workcell.
Acrobat or a careful manual pass. Buying a disclosure workspace for three pages a quarter is the wrong spend.
That is not a redaction-tool contest. Staffed Purview DLP can cover a large share of detect-and-block. Northdocs Outbound Guard is an upsell for wipe-in-compose, recipient class, and body-free evidence. Do not start an outbound deal by comparing Cleardox.
You need permanent removal with a verify gate, FOI/DSAR/litigation volume, EU hosting, and transparent per-seat pricing.
You are already embedded, your negotiated price and connectors win, or you need on-prem in a shape we do not offer today.
The job is a few pages and you do not need a case, a dossier, or a download gate.
You only black out a page now and then, or you already have a working process whose risk you accept.
Upload an FOI or DSAR case and download only after verification passes.
