Vendor and RFP proposal redaction

Scrub vendor proposals for pricing, contacts, registration details, NDA terms, and trade secrets before controlled sharing.

Procurement teams use the RFP kit when a proposal must be shared with an evaluation panel, customer, adviser, or another bidder without exposing commercial terms or personal contact details.

How it works

Redact

The applicant holds CPR .

The content stream is gone. A black bar is the visible result, not a cover you can lift.

Pseudonymize

The applicant Person 1 holds CPR National ID 1.

Tokens stay linked: Person 1, Email 1, and Address 1 belong to the same dossier.

Keep pricing and contacts on Redact. Keep person names on Pseudonymize when evaluators still need a readable proposal.

Turn the pack on

An organization admin opens Settings → Categories and selects Apply pack on Vendor and RFP proposals. The preset enables proposal detectors and keyword markers, sets pricing and contact categories to Redact, and sets person names to Pseudonymize.

Create a Case with the Vendor / RFP proposal template. Its checklist covers scope, unit prices and bid totals, contact details, company registration, NDA and trade secret markers, appendices, quality control, approval, and release.

What detection covers

  • Built-in person, organization, email, phone, address, title, VAT, currency, confidential marking, and URL categories.
  • Deterministic unit price, bid amount, and company registration patterns.
  • Keyword seeds for proposal headings, rate cards, contact sections, NDA language, and trade secret markers in English and Danish.

Review and release

Review people in Fast Track and keep Pseudonymize when evaluators need readable context. Keep pricing, emails, phone numbers, company registration details, and confidential markers on Redact unless the disclosure purpose requires them.

Validation checklist

  • Confirm sample unit prices and totals were found.
  • Search the output for known emails, phone numbers, CVR or VAT values, and confidential phrases.
  • Inspect scanned pages visually.
  • Confirm the proposal owner approved the audience and retained fields.
  • Keep the audit entry with the released file.
